Permissions and Visibility
When it comes to who can see your tasks, we try to keep it simple. In our view, either you're involved in a task or you're not. If you're involved in any way, you have full access. If you're not part of the Task or Project, you're excluded from seeing or accessing the information.
This also means that if you've created a Task and haven't shared it with anyone it is completely private - no one can see it.
It really is that straightforward.
The charts here show the two types of Task that exist in Connect Action.
The Private Project Task
This is a task that you create and haven't assigned to a project.
Connect Action defaults all tasks to the Project called 'Private Project'.
A Task With a Single Owner
Complete Privacy
For- A Task only you own.
- You have not added any followers.
- You have not attached it to a Project.
- Your task is completely private.
The Shared Private Task
Task Member Privacy
For- A Task that has you as the owner or follower.
- A Task that has more than one person in it.
- A Task that is on a private Project.
- Everyone inside the Task can see everything.
- Your Task is private, visible only to Task members.
A Task Invitee
Task Member Privacy
For- A person invited into an existing Task by a Task member.
- This invited person can be anyone:
- A Connect user in your list.
- A Connect user outside your list.
- A new user invited via email.
- The newly invited person can see everything in the Task (including
everything from before they joined):
- All past conversations
- All file attachments
- The Task history
- Your Task is private, visible only to Task members.
The Project and its Associated Tasks
Consider a Project as a team of people that are responsible for a set of tasks.
Everything within the project is accessible to all project members.
The three things to remember are:
- If someone is not visibly on the task as a follower, but a member of the project team, they have permission to access all the information in that task.
- A non-Project member can be invited into a task that is part of a Project. However, that invitee can only see information that relates to the specific task they were invited to... not the rest of the project.
- A person that is not an Owner or Follower of a Task, but is on the same project will not receive email notifications or Recent Activity updates.
